The head of department should always be informed about applications for external research funds, particularly applications containing workload reduction, new appointments, PhD students or other conditions of consequence to the department’s economy or staff. Please contact the research consultant as soon as possible as s/he will assist in clarifying organisational and overall budgetary issues, including questions of co-financing, and will take care of letters of agreement, budget signatures and expressions of interest from the head of department.
Contacting the research support unit early in the process is a good idea when working with fund applications, as they offer support in all phases from idea development to the final submission of the application. They will also recommend funds and instruments worth pursuing for the individual project.

If the project involves PhD students, the head of graduate school, Anne Marie Pahuus, must make an expression of interest for enrolment in the Graduate School of Arts. The relevant PhD programme director will consecutively undertake a specialist assessment of the potential PhD students and must have CVs and diplomas of the PhD students as well as the intended (sub-)projects in hand well before the application deadline.

For named PhD students approval must be obtained from Johnny by way of specialist assessment from the PhD programme directors. The grant applicant should provide the relevant PhD programme director with the named potential PhD student’s CV, diplomas/proof of academic degrees and intended (sub-)projects well before the application deadline.
Open calls for PhD fellowships are posted, and subsequently start, biannually: autumn calls to be filled February 1st (application deadline is October 1st) and spring calls to be filled September 1st (application deadline is March 1st). We kindly recommend taking these options into consideration in the formulation of research projects and the time schedules of the latter. In circumstances where special considerations are needed PhD students may be enrolled at any time. This must be agreed with the head of the graduate school.

It varies from fund to fund if there’s a possibility of applying for overhead. The research councils and the great Danish funds, administered by the Danish Agency for Science, Technology and Innovation, operate with overheads of 44%.
Overhead is given in order to cover indirect expenses in connection with carrying out a project, in other words the expenses not directly attributable to the specific project. This might be joint expenses for rent, heating, electricity, cleaning, administration, and library and so on. Often indirect expenses to be covered by overhead turn out to exceed the 44% in practice.
If there’s no possibility of an overhead, applicants should contact the research consultant. In some cases operating expenses such as office expenses and secretarial support can be added to the budget.
